Information we collect
- Enquiries: your first and last name, email address, telephone number if provided, message and any wedding or appointment details you choose to share. We also record the wording and time of your form acknowledgement.
- Correspondence: information you provide when you contact us by email or telephone and records needed to follow up your enquiry.
- Photographs and testimonials: names, photographs and comments supplied for our bride gallery and customer testimonials.
- Website use and security: pages requested, visit times, referring website information and approximate country information where available. Our hosting systems may process IP addresses, browser information and error or access logs to deliver and protect the website.
Please do not include payment-card details or unnecessary sensitive information in the enquiry form.
Why we use information and our lawful bases
- To respond to enquiries and arrange appointments: taking steps at your request before entering a contract, or our legitimate interests in answering general questions and running the boutique.
- To keep enquiry and customer contact records: our legitimate interests in managing correspondence, providing continuity of service and resolving queries. Sending an enquiry does not subscribe you to marketing.
- To operate, protect and understand the website: our legitimate interests in providing a reliable service, preventing misuse and reviewing basic server-side page-use records.
- To display bride photographs and testimonials: consent where you have agreed to publication. You can ask us to remove your photograph or testimonial by contacting us.
- To meet legal requirements and handle disputes: legal obligations where applicable, and our legitimate interests in establishing, exercising or defending legal claims.
If we introduce optional marketing, we will provide the required information and obtain consent where required. An appointment enquiry is not marketing consent.
Who receives your information
Information is available to authorised people managing New York Bride and to service providers who support our website hosting, CMS, technical maintenance and business email, where needed to provide those services. Enquiries may also create or update an internal contact record in the CMS.
We may disclose information to professional advisers, regulators or other authorities where required by law or necessary to handle a legal matter. We do not sell enquiry details.
External services and international processing
The website currently requests typefaces from Google Fonts. When your browser requests those files, Google receives technical request information, including your IP address and browser information. Please see Google Fonts privacy information for details.
Our business email uses Gmail. Email and font providers may process information outside the UK. Where international-transfer rules apply, the relevant provider arrangements must provide an appropriate safeguard or other permitted transfer mechanism. You can contact us for information about the providers used for your enquiry.
Google Map: the contact page automatically loads a Google Map. When you visit that page, Google receives your IP address and technical request information and may use cookies in connection with the map service. Google may process information outside the UK. See Google’s privacy policy and our cookie policy for further information.
How long information is kept
Enquiry and correspondence records are kept for the time needed to answer your request, manage any resulting appointment or purchase and deal with reasonable follow-up questions. The period depends on whether your enquiry becomes an ongoing customer relationship, whether a complaint or dispute remains open and whether a legal record-keeping obligation applies.
Customer and transaction records may need to be retained longer for accounting, legal or dispute purposes. Website logs and page-use records are retained according to their operational and security purpose. Backup copies may remain until they are replaced through the backup cycle. Contact us if you need the retention period relevant to a particular record or wish to request deletion.
Your choices and rights
Depending on the circumstances, you may ask to access your information, correct it, have it erased, restrict its use, receive a portable copy or object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.
Contact us using the details above. We may need to check your identity before responding. Rights are subject to legal conditions and exceptions. We do not use the website enquiry form to make solely automated decisions producing legal or similarly significant effects.
Complaints
Please contact us first so we can try to resolve your concern. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
